Most AI consulting is a workshop, a slide deck and an invoice. This is closer to plumbing. We find the leaks, fix the biggest ones for a fixed price, then stay on to keep them fixed.

Each vendor owns one box and stops at its edge. Your practice management company will make scheduling smarter. Nobody is going to make your phone system talk to your billing company, because no vendor owns both. At every seam above, a person carries the information across by hand.

    We audit

    Two weeks watching how the work really moves. You get a written plan with dollar figures on it, and you keep it whether or not you hire us.

  2. 02

    We build

    Fixed price, three to six weeks. It connects to the software you already run. Staff are trained during the build, not on go-live day.

    We stay

    We watch it, fix what drifts, add one new thing each quarter. Cancel any month on thirty days' notice.

What two weeks actually looks like

  1. Days 1–2

    We watch

    Two hours with you, then two more with whoever really runs the front desk. They know where every workaround is, and almost nobody thinks to ask them.

  2. Days 3–5

    We test it ourselves

    We phone your office like a customer would. We fill in your forms. We time how long things take, and note every place somebody retypes information a computer already had.

  3. Days 6–9

    We price it

    Each leak gets a dollar figure against it: hours at your real loaded cost, plus revenue nobody is collecting. Then a build cost and a payback period beside each one.

  4. Days 10–14

    We hand it over and walk you through it

    A written plan, ranked, with the privacy and data-handling answers included. An hour on a call going through it. Then it is yours to do whatever you like with.

You keep the plan either way

There is no lock-in and no exclusivity. Take the plan to your existing IT company, a freelancer, or your own software vendor. We hand over every file and answer their questions. Either the audit is worth its price on its own or it is not worth selling.

The Care Plan

How it stays useful. We watch it, tune it when it drifts, retrain it when your hours or providers change, and build something new each quarter.

Month to month, on thirty days' notice. If it stops earning its keep you should cancel, and I would rather you did that than quietly resent the invoice every month.

Boundaries

What we don't do

Worth reading before you book anything. Half of choosing a firm is finding out what they will refuse to do.

We don't sell you software

We do not resell anything and we take no vendor commissions. If an off-the-shelf tool solves your problem for $80 a month, the audit names that tool and you keep the rest of your money. It happens more often than you would expect.

We don't sell hours

Retainers reward taking longer. Every price on this site is fixed and agreed before anything starts, so we are paid to finish rather than to linger.

We don't do strategy decks

What you get at the end of the audit is a working plan with prices attached, not forty slides about the future of artificial intelligence. Hand it to any competent developer and they can build from it.

We don't touch clinical judgement

Everything we build sits on the administrative side. Scheduling, intake, verification, paperwork, billing follow-up and communication. Anything clinical goes to a licensed person, and that line is written into the scope of every engagement.

The questions everyone asks

Is this HIPAA compliant?

It has to be, or we don't build it. We sign a BAA before anything starts. Patient information only ever passes through systems covered by one, so nothing gets pasted into a consumer chatbot. Every build comes with a one-page data map: what information goes where, who can see it, how long it is kept. If a vendor will not sign a BAA, we do not use that vendor.

My software company says they already have AI. Why do I need you?

Sometimes you genuinely don't, and the audit will say so. It is the cheapest outcome available to you and you should hear it from us. Software vendors build for their average customer and their features work inside their own product. Your expensive problem usually sits in the gap between four different systems. A gap starts where one vendor stops, so no vendor owns it.

What happens when it says something wrong to a patient?

It is built so that it cannot. You write and approve the script before go-live, and it only says things you have signed off. Anything clinical, urgent or unfamiliar goes to a person within seconds. You get a transcript of every conversation. If you dislike a sentence we change it the same day.

My staff is going to hate this.

They hate it when it lands on them without warning. We bring the front desk in during the build, not on go-live day, and we start with the tasks they already complain about: the retyping, the hold queue, the same five questions forty times a week. What usually happens is the front desk ends up defending it, because the boring half of the job disappears and the half they actually like gets easier.

Are you going to replace my people?

No, and I would be wary of anyone selling you that. What happens in practice is your existing team stops doing work a computer should have been doing, and the next hire never becomes necessary. It shows up as a hire you did not make. Your payroll this quarter looks the same, and you should know that going in.

We're not a dental or medical practice.

That is fine. Healthcare is where we go deepest, because the paperwork is heaviest and the rules are strictest there. The same work applies to law firms, property managers, home services and clinics of every kind. Same audit, same fixed prices.

What if we hate it?

The audit is refundable if it cannot find three times its cost in recoverable time and revenue. Builds are fixed price, so you know the number before anything starts. Support is month to month on thirty days' notice. There is no long contract anywhere in this.

How long until we see anything?

Two weeks to the plan. Another three to six to get the first thing running properly. Front Desk is usually answering calls within a month of signing, because it does not need access to clinical records before it starts earning.
